The Barn at Flaxston Gill Rental Terms and Conditions

 

Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact the owner for further detail to avoid any misunderstandings.

All bookings are subject to the following terms and conditions.

Contract

A contract between you and the owner will come into existence when a booking confirmation is issued showing the confirmed holiday dates. The contract binds you & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.

Payment

Bookings made less than 7 days before your arrival date must be paid in full within 24 hours of receipt of booking invoice.

A booking invoice will be sent 14 days before your arrival date. The full amount must be paid no later than 7 days prior to the commencement of your holiday. If the full amount is not received by the due date, then your holiday will be treated as a cancellation.

Cancellation

All cancellations must be notified in writing. If you cancel your booking more than 5 days before the check-in date, you will receive a full refund. If you cancel 1 to 5 days before the check-in date, you will receive a 50% refund. If you cancel on or after check-in date, no refund will be due.

You are strongly advised to take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.

Your booking will not be cancelled by the owner except in exceptional circumstances beyond her control. Notification will be given of the cancellation as soon as possible and a refund of all payments made for your holiday will be completed promptly.

The owner’s liability for cancellation will be limited to payments made to her.

Covid-19

Should further government restrictions be introduced in the future that prevents you from being allowed to travel, bookings that are impacted will have the following two options:

  • Transfer your booking to a later date.
  • Cancel your booking for a full refund.

The refund guarantee covers national and local lockdowns, but does not cover you or your party for being unable to travel if someone in the party contracts Covd-19, or if you’re required to self-isolate or quarantine.

We strongly advise you to take out comprehensive travel insurance, ensuring it includes Covid-19 cover.

Pets

No pets other than dogs are permitted.

A maximum of 2 dogs at any one time. Additional dogs may be allowed, but only with prior agreement of the owner.

Dogs are to be properly controlled and supervised at all times, and must not be left unattended at the property.

Please don’t let dogs onto the furniture, especially sofas and beds, without the use of a cover to protect the furniture. Additional throws which may be used for this purpose are provided.

Please clean and dry your dog if muddy and wet. A couple of old towels suitable for drying your dog are provided.

Guests are responsible for cleaning up after their pets both inside and outside of the property.

Although the property is enclosed by walls and fencing, it is not guaranteed to be fully secure for all dogs. It is the responsibility of the guest to ensure the safety and security of their dog(s).

Guests with allergies should be aware that the owner cannot accept any liability for any suffering which may occur as a result of dogs having been present.

There is temporary fencing installed down the middle of the lawn between the Barn and the main house. It is there to prevent the owner’s dog from annoying non-dog loving guests and to keep her separate from any visiting dogs (not all dogs get on).

The temporary fencing must not be adjusted or removed by guests.

Please do not let children play with the fencing – it is not a toy.

Use of the Field

The adjoining field is regularly used by the owner and their dog, so exclusive use for guests is not available.

Use of the field by guests is limited to enjoyment of the views or to exercise their dog(s).

It should be noted it is very uneven, steep in places, and sometimes boggy, so is not suitable for guests, including children, to run about in, or for guests with mobility issues. Great care should be taken when using the field to avoid any falls.

Children and pets must always be supervised when in the field, and never left alone.

Guests must clean up after their dog(s).

Please note, the fencing round the field is not secure for all types of dogs, especially if your dog is liable to dig under, or jump over fencing,

Fences, trees, or any structure in the field must not be climbed or played on at any time.

Guests use the field at their own risk.

Damage

In making a booking you accept responsibility for any theft, breakage or damage caused by you, your pets or any member of your party and agree to indemnify the owner in full for any loss that may incur as a result.

Damages and breakages – please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let the owner, or their representative, know immediately so that the appropriate action may be taken. If there has been any damage or breakages during your stay, the owner would be grateful if you could report them promptly, and certainly prior to check-out. The accommodation will be inspected at the end of the holiday & you may be charged for any loss or damage.

Please lock the door and close the windows whenever you leave the property unoccupied.

Please make sure you switch off lights, heating, or any electrical appliances whenever you leave the property unoccupied.

Please don’t take any bath towels with you outside of the property, e.g. to the beach.

The owner reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.

General Conditions

No parties or events – the maximum number of persons using the accommodation at any time must not exceed 4 persons and only those listed on the booking form can occupy the property. The owner reserves the right to terminate the booking without notice and without refund in case of a breach of this condition.

Bookings cannot be accepted from persons under eighteen years of age.

The owner reserves the right to refuse a booking without giving any reason.

The owner, or their representative, reserves the right to enter the property at any time to undertake essential maintenance or for inspection purposes.

Rentals normally commence at 3pm on the day of arrival, unless otherwise agreed and terminate by 10am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests. Guests may be permitted to arrive earlier or stay later, subject to prior agreement.

Vaping or smoking anywhere inside the premises will result in immediate termination of occupancy and forfeiture of all payments.

The client may in no circumstance re-let or sublet the property, even free of charge.

The owner shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building or grounds.

No compensation will be given for any temporary outage of electricity, water, internet connection or television service.

The owner is not responsible for the loss of any personal belongings or valuables of the guests.

All inventory must remain in the property.

Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision.

Parking is available in the driveway for 1 vehicle. Parking for additional vehicles is available, but please advise the owner when booking.

When parking in the driveway, please ensure sufficient space is left to allow full access to the left-hand garage and for the main gate to be closed.

Please respect the community and try to keep noise levels to a minimum, especially between 10pm and 8am. Music must not be played outside after 10pm.

The owner reserves the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.

Candles are not allowed.

Check-out

Check-out time is 10am to allow time for cleaning or property before new guests.

Late check-out up to 12 noon may be possible, but only with prior agreement.

Please ensure to take all your possessions with you when you leave.

Please ensure all rubbish is left in provided bins and all dirty dishes have been washed.

Any problem or complaint related to the accommodation must be reported immediately directly to the owner, who will endeavour to put matters right.

The owner reserves the right to make reasonable amendments or additions to these terms and conditions without notice.
